Todd Nichols Studio Policies
We are a very busy boutique portrait studio offering a limited number of sessions each month.
When you reserve a session, the studio is committed just for you and your loved ones. Your date is thoughtfully prepared in advance, our artists and staff are scheduled specifically for your session, and all other inquiries for that time are kindly declined. This allows us to provide an attentive, unrushed experience our clients love and create artwork of the highest standard.
RESERVATION DEPOSIT: When you book your session there is a refundable reservation deposit. This helps to assure this one-of-a-kind experience goes to those who are committed to showing up and truly invested in beautiful artwork. The reservation deposit can also be used as a credit toward your artwork, or refunded back to you and is processed on the day of your portrait presentation and purchase appointment as long as you are present for and participate in your appointments.
CANCELLATION: Clients may cancel within 24 hours of the date they booked and receive a 100% refund of their reservation deposit. Note this is not the session date, but the date that you booked your appointment. If the cancellation is submitted after the 24-hour window has passed, the deposit becomes non-refundable, regardless of the reason for cancellation, including (but not limited to): Illness, scheduling conflicts, personal emergencies, transportation issues, changed mind. This policy exists because the studio reserves time, personnel, and resources for every session.
RESCHEDULING: Appointments can be rescheduled with 1 week advance notice to give us a chance to rebook the appointment slot. Reschedules less than 1 week from your appointment will forfeit the reservation deposit. Clients may reschedule one time at no charge as long as the request is made at least 7 days prior to the session date. A reschedule request inside the 7-day window is treated as a cancellation and will result in forfeiture of the reservation deposit. After the one complimentary reschedule, any additional rescheduling requests will require a new reservation deposit to secure a new date.
NO-SHOW POLICY: A client is considered a no-show if they: Miss the session appointment, arrive more than 15 minutes late, cancel on the same day. No-shows automatically forfeit the reservation deposit. A new deposit will be required to book a future session.
COMPLIMENTARY PORTRAIT SESSIONS: Are limited to one per household, per portrait type, per calendar year. If it is discovered after booking that a second session from the same household is booked, client will be informed, and session will either be canceled, or deposit will become non-refundable.
ALL SALES ARE FINAL: Production begins immediately upon purchase, all artwork, including digital asset sales are final. Partial or installment payments are non-refundable and retained by the studio as compensation for services rendered if plan is not completed. Artwork including digital assets are released after payment is received in full.
ARTWORK SELECTION and APPROVAL: All artwork selections must be made at either the design appointment, portrait presentation and purchase appt. or in the rare event of an online gallery, by the date of the gallery expiration. Selections not made within this timeframe will be subject to current pricing. When wall art is sent to client for approval of the crops and any additional edits, a response is required within 7 days in order to keep production on schedule. If there has been no response after 7 days we will assume it is approved and proceed to production.
SHIPPING & DELIVERY: Please inspect your artwork immediately upon delivery, even if the outer packaging appears intact. Any shipping damage or product flaw must be reported to Todd Nichols Studios via text or email within 7 days of delivery. Claims submitted after this deadline may be denied. Please keep the original outer box, internal packaging, and all packing materials until the claim is closed, as the carrier may require them for inspection. To avoid claim rejection, please submit clear documentation of: The outer box, shipping label, internal packaging, damaged product.
AGREEMENT TO THESE TERMS: By booking a session with Todd Nichols Studios, you acknowledge that you have read, understand, and agree to all terms outlined on the Studio Policies Page.
